Getting
Started
If you are a new subscriber or this is the first time you have loaded
WEB FEET MARC Records, please contact Gale Technical Support
at 1-800-877-4253 (option 4).
Once you have determined the deletion process
you will be using, load the records using the MARC record import
instructions, import utility, and system settings that you usually
use to import MARC records into your library automation system.
The WEB FEET MARC records are standard MARC records and will load
and index on your automation system just like any other MARC records.
If you have any questions about determining the deletion process
for your automation system, do not proceed with loading the records.

Choosing the Files You Need
On our HTTP download page, you will see two folders for each issue
of Web Feet: Full DB for those who delete all WEB FEET MARC Records
and load a new set every other month (the recommended method) and
Updates for those who delete selected records and load new ones
every other month. If you are not sure which method you should use,
contact
Gale Technical Support.
In the Full DB or Updates folder, you will find a New and Delete
folders.
The New folder contains the WEB FEET MARC Records for the issue.
The Delete folder contains the WEB FEET MARC Records that need to
be deleted for the issue. If your automation system recognizes the
delete command in the leader field of a MARC record, you can import
the delete file to tag the records from the previous month for deletion.
The WEB FEET MARC Records in both the Full DB and Updates folders
are provided in four file formats. The records in each format are
cataloged according to AACR2 MARC 21 standards. Select the format
that is compatible with your automation system. If you aren't sure,
try the .oc format first or contact your automation system provider
for the acceptable file format for your system.

HTTP Download Instructions
Its easy to download WEB FEET MARC Records from this HTTP
siteas simple as copying files from your own server:
PC users
1.
On the HTTP download page, click on the link for the files you need
(Full database or Updates).
2. Double click on the folder for the issue you want.
3. Right click on the files you need (New or Delete in .oc, .us,
.lif, or
.raw format) and the Microsoft Word files
(.doc) and select Copy
to folder.
4. Choose your computers desktop as the location and click
Save.
Mac
users
1.
On the HTTP download page, click on the link for the files you
need
(Full database or Updates).
2. Click on the folder for the issue you want.
3. Highlight the files you need (New or Delete in .oc, .us, .lif,
or
.raw format) and the Microsoft Word files
(.doc).
4. In the browsers top bar, click File, and then click Save.
5. Choose your computers desktop as the location and click
Save.

3. Drag the files you need (New or Delete in .oc, .us, .lif, or
.raw
format) and the Microsoft Word files (.doc)
to the desktop.

Importing the Records
Use your automation system import utility and the browse function
to locate the file(s) on your desktop. Be sure to select "all
files." Import the file(s) into your automation system as you
would any other MARC records.
Be sure all the records loaded. Most automation systems will indicate
how many records have loaded once the import is complete. Many automation
systems allow searching by the 245$c (selected by WEB FEET), the
520$a (WEB FEET summary), or the code or designator that you assigned
when you imported the records (collection name, bar code group,
location, vendor, or other unique identifier).
The Microsoft Word files (.doc) that you copied to your desktop
from the FTP site lists the records alphabetically by title and
includes control numbers and URLs for each group of records (New
and Delete). Use this list as a quick reference.
Do
not make changes in your WEB FEET MARC Records. WEB FEET MARC Records
have been coded to make them compatible with most library automation
systems and to enable future updates. Please contact us before making
any changes to your WEB FEET MARC Records to ensure that nothing
will be changed that may limit WEB FEET MARC Record deletions or
changes in the future.

Using WEB FEET MARC Records
You may need to update your automation system configuration to display
and use WEB FEET MARC Records effectively. Contact your automation
system provider for default settings and system configuration information.
Searching
Once
loaded, the WEB FEET MARC Records Version 3.0 are part of your catalog
and can be searched like any other recordsby general keyword,
title, author, subject, LC or Dewey number, grade level, curriculum
area, or any other way your automation system allows.
To
limit a search to just WEB FEET records, include the phrase "
WEB FEET " in a general keyword search. Most automation systems
index the 520$a summary notes field. The summary notes in each WEB
FEET record are introduced with the words: " WEB FEET summary."

Searches: Grade Levels
We
have coded the WEB FEET MARC Records to enable searching by grade
level, as long as your system searches on the 521 tag.
To
search by grade level, enter "g" plus the grade level
into any keyword search area. For example, for grade 1, enter "g1."
For kindergarten-level sites, enter "gk." You can enter
additional keyword(s), as well. For example, you might enter "g1"
and "American history."

search by curriculum area, enter one of these terms and any additional
keyword(s) (including grade level, if desired) into any keyword
search area:

Searches: Calendar Connections
This
quick reference lets you find curriculum tie-ins that relate to
holidays and other national observances, such as Women's History
Month and Thanksgiving. To search by month, enter the month into
the browse field for LC subject headings. All WEB FEET Calendar
Connections have been cataloged with an LC subject heading for the
monthly observance, such as "January (month)."
Displaying

Brief Record Display
When
a search is performed on the library catalog, the system returns
a list of potential records. We refer to these records as "brief
records."
To maximize the usefulness of the WEB FEET MARC Records, the brief
record display must identify them as Web sites selected by WEB FEET.
Many automation systems allow the library to specify what fields
display in the brief record display. The 245$h medium designator
in these records is always [web site]. The 245$c statement of responsibility
is always [selected by WEB FEET]. These two subfields should display
in your brief record display. If they do not, please contact your
automation system vendor for default setting and configuration information
for your system.
If your system displays icons to indicate medium or format, the
WEB FEET MARC Records should display as Web site or Internet resource
records. If they do not, please contact the automation system vendor
for more information on the display settings for your automation
system.

Display
format may vary according to your automation system settings and
capabilities.
Full
Record Display
When
a record is selected from the brief records list, a full record
will display. This display will include the WEB FEET summary describing
the content of the site. Most automation systems will allow the
URL to display and link directly to the Internet. A highlighted
URL (live link) will appear in the display if your automation system
supports this feature. If the URL is not highlighted, please contact
your automation system vendor for default setting and configuration
information for your system.

Deleting
WEB FEET MARC Records Version 3.0
Web
site content changes frequently. Once a change has been made to
a site, the WEB FEET MARC record may no longer accurately represent
the content of the site. Each month, a number of new records are
added and a number of existing records are updated. Some records
are also deleted. It is important to update your WEB FEET MARC Records
each month by deleting your existing records and loading the new
records.
Please
read through the following instructions to select the delete method
that is appropriate for your automation system before you load the
new records.
If
you have any questions about determining the deletion process for
your automation system, do not proceed with loading the new records.

Delete
Using the WEB FEET MARC Records Delete Records
Some
automation systems will recognize a delete command in the leader
field of a MARC record. The delete command will mark the record
in the 050, 520, and 856 tags with the word DELETE. You can isolate/produce
a list of marked records for review. (Many systems refer to the
list of marked records as an "exception list.") You can
then purge the records as a group or individually, according to
your automation system procedure for deleting records using this
method.
The
Word file (.doc) that lists the records to be deleted alphabetically
by title and includes the WEB FEET control number and URL is included
in the Delete Record group.
If
your automation system does not recognize the delete command in
the leader field of a MARC record use one of the following methods
to delete the records from the WEB FEET MARC records from the previous
month.
Delete
Using Your Automation System Deletion Options
Some
automation systems allow searching by a specific tag to isolate
a group of records for review and then to purge them individual
or as a group. The words [selected by WEB FEET] appear in the 245$c,
the words [web site] appear in the 245$h, the words [computer data]
appear in the 256, the words [WEB FEET summary] appear in the 520$a,
the words [Mode of access: Internet] appear in the 538$a tag, and
a URL appears in the 856 tag in every WEB FEET MARC record. Refer
to your automation system procedure for deleting records by this
method.
Some
automation systems allow deletion of groups of records by acquisition
or loading date. If you use this method, you cannot load or alter
any other MARC records on the day the WEB FEET records are loaded.
Follow your automation system procedure for deleting records by
this method.
Some
automation systems allow deletion of groups of records by collection
name, material code, vendor identification, or bar code group. These
codes must be defined and assigned when the records are loaded.
Follow your automation system procedure for assigning these codes
and then for deleting records by this method.
All
automation systems allow deletion of individual records. The Word
file (.doc) included in the Delete Group lists the WEB FEET MARC
Records to be deleted alphabetically by title and includes the WEB
FEET control number and URL can be used as a reference to search
your catalog for the WEB FEET MARC Records to be deleted. Isolate
the records for review, and purge them individually or as a group,
according to your automation system procedure for deleting records
by this method.
Check
your system to be sure all of the WEB FEET MARC records from the
previous month have been removed. If necessary, repeat the deletion
process for the remaining records. All records must be removed before
loading the WEB FEET records for the current month.
IF
YOU HAVE NOT LOADED WEB FEET MARC RECORDS BIMONTHLY:
If
you have not loaded and deleted your WEB FEET MARC records bimonthly,
it is not necessary to load and delete the records from each scheduled
update. Use the Delete Record List or the Delete Records file from
the update after you last loaded your WEB FEET MARC records. Then
load the New records from the current update. The New records file
contains a complete and up-to-date group of WEB FEET MARC records
each update.

from the appropriate update, or if you have questions or need help,
